You may give us information about you by filling in forms at a session or online, or by corresponding with us by phone, e-mail or otherwise.  The information you give us may include your name, date of birth, address, e-mail address, phone number, gender, relevant health information, and on occasions, bank account details.

Why we need your personal data

Under GDPR we store data for Legitimate Interests. This means the data you have submitted has been done so under the knowledge that it will be used for us to fulfil a service you have requested or to make contact with yourself. We’ll use your information for the following reasons only:

  • To contact you about the service you have enquired about
  • Internal record keeping
  • To contact you for marketing purposes if you have given strict consent.

Any personal information on medical conditions and injuries related to your treatment are only asked for and collected during a private treatment session, with your full consent. This information is stored securely in non-digital format and not passed to any third parties without your consent.

Who we share your personal data with

We do not supply any personal data it holds for this purpose to any other third party for marketing or communication purposes. We do not store or transfer your personal data outside of the UK. .

We will only ever send personally identifiable information about you to other companies when:

  • We have your strict consent to share the information, for example when we work with another practitioner as part of your treatment.
  • We need to share your information to provide a service you have requested.
  • We respond to court orders or legal processes.
  • We find that your actions on our website or by any other communication violate our Terms and Conditions or any of our usage guidelines for specific products of services. For example, when we need to pass your details onto our lawyer.

How long we hold your personal data

In accordance with GDPR, information cannot be held longer than is necessary. Therefore Melbourn Sports Massage will adhere to the guidelines of the SMA (The Association for Soft Tissue Therapists) and will retain your information for:

  • 7 years post your last treatment from Melbourn Sports Massage. An adult is a person over 18 years of age.
  • Up to the age of 21 for children – assuming your last treatment was prior to your eighteenth birthday (i.e. for 3 years after the child reaches their eighteenth birthday)
  • If there are mental issues information may need to be kept longer or indefinitely but for at least three years after the client is certified to have regained mental capacity.

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

As a data subject you are not obliged to share your personal data with us. If you choose not to share your personal data with us we may not be able to offer you our services

Controlling your personal information

If you have agreed to us using your personal information for direct contact and marketing purposes, you may change your mind at any time by writing to or emailing us at info@melbournsportsmassage.co.uk. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties, which we think you may find interesting if you tell us that you wish this to happen.
